About budgets
A budget consists of one or more smaller category-based budgets, such as Phones or Computers. A budget defines the maximum amount and quota a user can spend on equipment within each category.
- By default, users can only purchase items within their allocated budget.
- Your company can choose to allow product requests that exceed the assigned budget. For more information, see the article About budget overages.
Each budget can have its own payment method (e.g., monthly or one-off) and a specified renewal period. For example:

Phones: 500 SEK/month

Renewal period: 36 months
Budgets help companies control expenses while still giving users flexibility to choose the devices they prefer.
How to create a budget
- Go to Asset Management in the navigation bar → Budgets → Add budget.
- Enter a descriptive name for your budget to make it easy to identify later.
- Select the categories you want to include by clicking Add category.
- Configure category settings:

Limited allowance: Sets a maximum spending amount for users. Disabling this gives unlimited budget in that category, and product prices in the store will not be visible to users.

Limited purchases: Defines how many purchases can be made within the renewal period. Example: A phone budget with a 24-month renewal period and a purchase limit of 1 allows only one phone purchase per 24 months. If disabled, purchases are unlimited.

Limited allowance: Sets a maximum spending amount for users. Disabling this gives unlimited budget in that category, and product prices in the store will not be visible to users.
- Repeat to add multiple categories under the same budget if needed.
- Click Create budget to finalize.
👉 You can always click on a budget name to view or edit its details.
⚠️ Important: Changes to an active budget will affect users who already have that budget assigned and may update their current allowance.
Manually add a budget to a user
Budgets may vary depending on employee roles or responsibilities. To assign a budget:
- Go to Asset Management → Employees.
- Add a new employee, or locate an existing one. Click on the name of the user and go to Details or Budget tab and choose Edit user.
- In the Assign budget section, select a budget from the drop-down list.
- Click Update user.
⚠️ Note: Budget changes may affect the employee’s existing orders.

Set a company default budget
If you use a single budget for all employees, you can set it as the default. This ensures every new employee automatically gets the default budget.
- Go to Profile → Settings → Budget & attestation.
- Under Budgets, select a budget from the drop-down list.
- Click Update to save your settings.
Filter store by budget category
Admins can activate a setting that filters the devices shown in the store based on the user’s assigned budgets. For example, if a user has budgets for Phones and Computers, only those categories will be visible.
- Admins always see all categories in the store, regardless of budget assignments or settings.
To enable this filter:
- Go to Profile → Settings → Budget & attestation.
- Under Filter store by budget category, check the box.
- Click Update to save.
