Automatic budget assignment allows administrators to automatically assign budgets to new users created in Velory via a Directory Sync or HRIS integration, or imported through CSV. This reduces manual work and ensures that the right users are assigned the correct budget from the start.
β‘οΈUsers created manually in Velory are not included in automatic assignment and must always be assigned a budget manually.

Configure budget assignment
- Go to Settings β Budgets & attestation.
- Click on Add configuration.
On the configuration page, you can choose between three options:

Manual assignment of budgets (default)
All users must be assigned a budget manually after they have been added to Velory.

Automatically assign the same budget to all new users
Useful if your company only uses one budget for everyone. Simply select the budget from the dropdown list, and it will automatically be assigned to all new users.

Automatically assign a budget based on user attributes
Define rules to automatically assign different budgets depending on specific attributes (see section Create budget mapping rules).

Add rules β Match attribute values to budgets. For example:
- Job Title = Developer β Budget A
- Job Title = Account Executive β Budget B
- You can add multiple attribute values per rule (e.g., several job titles pointing to the same budget).
- Each rule can only contain one budget. If different job titles should lead to different budgets, create multiple rules.

Set a default budget β This budget will be assigned if no rules match.
- Save your configuration.
What happens when a new user is created
- When a new user is synced from AD/HRIS to Velory, or imported through CSV the rules are checked and the selected attribute for budget assignment.
π If a budget is specified directly in the CSV file for the user, that budget will take priority and override any attribute-based rules.
- If a match is found β the user is assigned the corresponding budget.
- If no match is found β the default budget is assigned
Good to know
- Budget assignment happens only at the time of user creation β if an attribute changes later, the budget will not be updated automatically.
π If you need to update multiple usersβ budgets at once, we recommend using the CSV export and import function. Read more here.
- Typos or incorrect attribute values will result in no budget being matched and the default budget will be assigned.
- If a budget used in a mapping rule is deleted, that rule becomes invalid and the default budget will be assigned. Always check your assignment rules before removing a budget.
