The available functionality on the platform varies across markets due to differences in tax regulations among countries. As a company, it is your responsibility to thoroughly investigate and comply with current legislation on the markets where you are using Velory.
A budget consists of a number of smaller budgets that are linked to different categories, for example "Phones" and "Computers". A budget indicates the maximum amount a user can spend on equipment within each category. By default, the company setting allows users to purchase items only within their allocated budget. However, your company may choose to enable employees to request products exceeding their assigned budget. This feature offers diverse methods to handle the excess amount. Every budget can possess a distinct payment method, like monthly or a one-off fee, along with a specified renewal period. For instance, a budget designated for the category "Phones" might be 500 SEK per month and the renewal period is 36 months.
Budgets make it possible to gain control over company expenses at the same time giving the users the opportunity to choose their desired devices.

How to create a budget
- Go to Asset Management in the navigation bar, click on Budgets and then Add budget.
- Name your budget, try to make it descriptive to make it easy to understand when you need to allocate a budget for an employee.
- Now, it's time to construct your budget by selecting the categories you wish to incorporate. Click on Add category and you’ll see a list of available categories in your store.
Limited allowance: Setting a limited allowance for a category determines the maximum spending amount for users with that assigned budget. Disabling this setting grants employees an unlimited budget for products within that category. Prices in the store will then not be visible for employees.
Limited purchases: Setting limited purchases for a category determines the number of allowed purchases within a specific renewal period. For instance, if a phone budget has a 24-month renewal period with a limited purchase amount of 1, an employee who buys a phone won't be able to place another order until the renewal period concludes. When this setting is disabled, users can buy items in this category at any time. - You can include multiple categories with distinct details under the same budget.
- When you are done creating your budget you click on Create budget.
- You can at any time click on the budget name and see an overview and edit the budget if necessary.
Important to note, if you make changes to a budget that is allocated to users with placed orders, the changes to the budget will affect the users current budget and the calculation for it.
Add budget to user/users
Your company may require diverse budgets for employees based on their roles and responsibilities. To allocate a budget to a specific employee, follow these steps:
- Go to Asset management in the navigation bar and click on Employees.
- Add the employee or find the employee in the list if the profile is already added, click on the three dots to the right and choose Edit.
- In the section Assign budget you can pick from your available budgets in the drop-down list.
- Then click on Update Employee. Be aware that changes in budgets may affect the employees current orders.

Set a company default budget
You have the option to designate or establish an existing budget as the default for your company. This is ideal if you have a single budget intended for all employees. Enabling the default budget ensures automatic allocation of this budget to newly added employees in Velory.
Here's how to enable this setting
- Click on your profile in the navigation bar, click on Settings then Budget & attestation.
- Under Budgets you have a drop-down list where you can choose from existing budgets to add as your company default budget.
- Then click on Update in the bottom of the page to save your settings.
Filter store by budget category
As an admin, you have the ability to activate a setting that filters the displayed devices in your store based on the budgets assigned to users. For instance, if a user’s budget includes phones and computers, these will be the only categories visible to that user in the store.
Admins will always see all categories within the store regardless of what budget is assigned to them and if this setting is enabled or disabled.
Here's how to enable this setting
- Click on your profile in the navigation bar, click on Settings then Budget & attestation.
- Under the section Filter store by budget category you find a check box that you should mark.
- Click on Update in the bottom of the page to save your settings.
