When an employee places an order through the store, it ends up as a product request that needs to be handled. Admins can see and manage all requests, and purchase managers can see the requests of the employees that they are responsible for. How to handle a request
As an admin or attestation manager, you can see that a product request has been placed by the request appearing on your Velory home page or if you go to Asset management and then Requests, there you will see all unhandled requests that needs to be handled.
Also, every afternoon an email is sent to those who handle requests, admins or attestation managers, with a summary of requests that are unhandled, if you do not have the auto-approval
If you click on Manage for a request, you have the opportunity to see more information and actively choose whether the employee's request should be approved or denied.
To approve a request
If you choose to approve the request, the order will be forwarded to the distributor for order processing.
To reject a request
If you choose to reject a request, you get the option to leave a message to the person who made the request. Once you have decided on a message and saved, an e-mail including your message will be sent to the employee so that your employees always know immediately that a request has been denied and what the reason for this was. A new order needs to be placed by the employee if the current request was rejected.
Auto-approval of requests
As an admin you are able to simplify the process of handling employee requests by enabling the auto-approval feature available. With this setting enabled, you can set a "within budget" limit for auto-approval of requests which mean if a request exceeds the limit, it will need approval from an attestation manager. Alternatively, you can select the "unlimited" option, which means that all requests will be automatically approved.
How you enable auto-approval of request:
- Go to your profile in the navigation bar and click on Settings.
- Click on Budget & attestation.
- Scroll down to the section Auto-approval of requests, enable the setting and choose between the options “Unlimited” or “Within budget”.
- Click on Update in the bottom of the page when you are done with your settings.
Depending on your company settings concerning outgoing emails, notification emails about approved or declined requests will be sent to admins and employees after a request has been handled.
If a request fails to auto-approve an email will be sent to the attestation manager or admin to inform about the request and auto-approve failure. If you go to the request details page you are able to see the event log with detailed information about why the request was not approved automatically and you are able to take actions on that. As the attestation manager or admin you can then manually approve or reject the order.
