For hardware devices that are manually added and bought in the store you as an admin are able to manually edit the Date of purchase and Renewal date. This will affect the user/space that the device is assigned to, so it is therefore important to understand the connection before changes are made.
About life span details
The life span details represent the period when the device affects the user/space and the budget calculations. For example: an employee has a budget that limits the number of phone purchases, then phones that are within date of purchase and renewal date count as usage against this budget, while expired devices do not. It also gives an indication for when the device can be replaced with a new device.
The renewal date is shown throughout the portal, as an admin and as an employee.
The dates are automatically added when purchasing the device through the store, the date of purchase defaults to the current date when order is placed and the renewal date is based on the date of purchase plus the leasing period if bought with leasing or the budget’s renewal period if a budget is assigned.
Date of purchase:
- Should be before or on the current date
- Should be before or on the leasing start date
Leasing start date:
- Should be before or on the current date
Renewal date:
- Should be after the date of purchase
- Should be on or after the end of the leasing
Edit lifespan details
As an admin, you can edit the life span details of devices that are manually added or purchased in the store. You do this by going to a device and clicking on edit.
For example, you may want to update the leasing start date and renewal date to reflect the actual date the device was delivered. If you have a device that was purchased on 01.03.2023 and the delivery took 2 weeks, the leasing start date should then be set to when the unit was delivered (marked as received) then15.03.2023. If the leasing period for the unit is 24 months, the renewal date should be set to 2 years ahead in time from the leasing start date; 15.03.2025.
This functionality allows you as an admin to extend the renewal date of a device to be set to after the lease has ended. This means that the lease of the device has ended but that the use of the device should continue. The cost of the unit is paid in full during the lease period which means that the budget of the assigned user/space will not be affected with any cost deductions for the device for the extended period. However, if the limited purchases toggle is enabled for the budget assigned to the employee, it is not possible to purchase a new device before the renewal date has passed.
