When an employee leaves the company, you can easily manage their assigned hardware using Velory's structured offboarding process.

How to offboard an employee
- Go to Asset Management in the navigation bar.
- Click on Employees and find the employee you wish to offboard.
- Click on the employee's name to open their profile.
- Go to the Details tab and click Employee Leaving.
You’ll now see all devices assigned to the employee and can choose what should happen to each:
- Should the user be able to buy the device?
- Or should the device be returned by the user and be unassigned and made available for others?
Once you've completed the form, click Initiate Offboarding. The employee's last day will now be visible in their profile, along with any selected device actions.
Email Notifications
On the employee's last day:
- As an admin, you'll receive an email summarizing the status of the employee’s devices.
- The employee will also receive an email (unless you uncheck this option during offboarding).
What happens with the hardware?
Option 1: Unassign on Last Day
The device is removed from the employee's profile and becomes available to assign to another employee or space.
Option 2: The Employee Buys the Device
If the employee is allowed to purchase the device:
- The company decides how the buyout process works and at what price.
- This may depend on whether the device is leased, and if the financing agreement is still active.
Scenario 1: Ongoing Financing Contract If the employee leaves before the financing term ends, the company must decide how to handle early termination. Learn more about ending a financing agreement prematurely.
Scenario 2: Ended Financing Contract Normally, the device is returned to the financing partner. If your company wants to let the employee purchase it, you may first need to buy it out from the partner. More details here.
Using Directory Sync?
If your company uses Directory Sync:
- Offboarding an employee in Velory won't affect their status in your directory provider.
- However, if removed from the directory first, they will be offboarded from Velory too.
- In this case, devices won’t be automatically updated for buyout. You must manually remove the device from their profile to avoid it remaining as unassigned.
