As an admin you have 2 different ways of adding hardware to Velory.
How to manually add hardware to Velory
Go to Asset Management in the navigation bar, click on Hardware and then Register. Use the form to add devices to your account. Let’s go through the sections one by one:
Name and image
When you start typing in the name field, you will see suggestions for matching devices. For example, if you type “iPhone 14”, a list of available models will be displayed and you can select the model you are looking for. When you do this the picture will be added automatically. If you do not find a fitting option you write the name and add a picture manually.
Category, Serial Numbers and IMEI
If you select an option from the list it will also automatically pick the correct category, in this example, phones. If you added the name manually you will have to choose a matching category from the drop-down list, if you are unable to find a fitting category for your device, contact our support. A category is necessary to be able to filter and see statistics, also you will not be able to add the IMEI number to a phone if you do not select the category “Phones”.
The Serial number is a unique number assigned by the manufacturer to help identify an individual device, it's easier to identify devices and it will help to estimate value. In the hardware view you are also able to search for a serial number in the search bar.
IMEI number (The International Mobile Equipment Identity) is a unique number that all phones have. It is not the same as the serial number.
Payment Interval
You can either choose to add the device on leasing or on one off. Depending on what option you choose the field will update accordingly.
One-off
If the device is bought with one-off, then choose that option and you will be able to add the cost and the currency for the device.
Leasing
If the device is on a lease you choose that option and you will see fields to fill in connected to the leasing contract, the ones marked with an asterisk are mandatory.
Life span details
The date of purchase enables you to capture when the device was purchased, and the renewal date enables you to represent when the device is able to be replaced. When manually registering a device on lease these fields are required to be filled in. This information can be updated afterwards, however it will impact the employees budget calculation so make sure you are aware about the effect before updating this information. Read more about it in the article How does life span details of a device affect a user/space?
Assignment
You are able to assign the product to a specific employee or space that is added in your company, choose who the device belongs to in the drop-down list. To set the payor of a device is mandatory information since it is important for budget calculations. In the drop-down list you are able to choose between the company or if it should be the employee if the device is assigned to an employee.
If you leave the device unassigned it will appear under unassigned devices and can later on be assigned to an employee or to a space by editing the device.
Distributor
If the device is bought or leased by a distributor you can add information about that here as well as the order ID for internal information.
Notes
There are two fields of notes that you can use if you need to add particular information about the product. Notes are visible for everyone and admin notes only for admins.
When you have added the information you need click on Complete registration and the device is added. You can always find the device and edit the information afterwards if you need to change, add or remove it completely.
