As an admin you have two different ways of adding hardware to Velory. By offering these two methods, Velory provides flexibility for admins to manage hardware efficiently, ensuring your device inventory remains accurate and easy to maintain. - Use the CSV import method for bulk updates or when onboarding a large number of devices.
- Opt for manual entry when adding a few devices or handling specific hardware updates.
How to manually add hardware to Velory
Go to Asset Management in the navigation bar, then select Hardware and click on Register. Use the provided form to add devices to your account. Let’s break down each section step by step.

Name and image
As you begin typing in the Name field, suggestions for matching devices will appear. For example, entering "iPhone 14" will display a list of available models, allowing you to select the one that matches your needs. Once selected, an image of the device will be added automatically.
If no suitable option is found, you can manually enter the device name and upload an image yourself.
Category, Serial Numbers and IMEI
When you select a device from the list, the correct category such as "Phones" in this example, will be automatically assigned. However, if you manually enter the device name, you’ll need to select a matching category from the drop-down menu.
If you cannot find a suitable category for your device, please contact our support team for assistance. Assigning a category is essential for enabling filtering and viewing statistics. Additionally, keep in mind that you won’t be able to add an IMEI number to a device unless the "Phones" category is selected.
Serial number | The serial number is a unique identifier assigned by the manufacturer to distinguish an individual device. We recommend adding the serial number to make it easier to track devices and estimate their value. Additionally, you can use the serial number to search for specific devices directly in the hardware view's search bar. |
IMEI number | The IMEI number (International Mobile Equipment Identity) is a unique identifier assigned to all phones. Unlike the serial number, the IMEI provides additional valuable information. We recommend adding the IMEI number for all phones to enhance device management and access useful details. |
Payment Interval
You can choose to register the device as either a leased device or a one-off purchase. The form fields will automatically adjust based on your selection.
One-off
If the device was purchased outright with a one-time payment, select the "One-Off" option. This will allow you to enter the device's cost in correct currency.
Leasing
If the device is under a leasing contract, select the "Leasing" option. This will display fields related to the leasing agreement, with mandatory fields clearly marked with an asterisk.
Life span details
The purchase date allows you to record when the device was bought, while the renewal date indicates when it can be replaced. These fields are mandatory when manually registering a leased device. While this information can be updated later, any changes will affect the employee's budget calculation. Be sure to consider the impact before making updates. Assignment
You can assign the device to a specific employee or space within your organization by selecting the appropriate option from the drop-down list. Setting the payor for the device is mandatory, as it plays a crucial role in budget calculations. If the device is assigned to an employee, you can choose between the company or the employee as the payor in the drop-down menu.
If you leave the device unassigned it will appear under unassigned devices and can later on be assigned to an employee or to a space by editing the device.
Distributor
If the device was purchased or leased through a distributor, you can include details about the distributor here, along with the order ID for internal reference.
Notes
There are two note fields available for adding specific details about the device. Notes are visible to everyone, while Admin Notes are only accessible to admins.
Once you’ve entered all the necessary information, click Complete Registration to add the device. You can always locate the device later to edit, update, or remove its details as needed.
