As an admin, you can enable a setting that allows users to return their devices after the renewal date via a structured flow in Velory. This gives your company greater control over devices approaching renewal and helps ensure timely returns.
🧠In this guide:
Enable the return device setting
- Go to your profile in the navigation bar.
- Click Settings, then select End of Lifecycle.
- Find the toggle named Return device.
- Turn the toggle on to allow employees to return devices after renewal. Turn it off to disable this option.
When enabled, you can choose whether returned devices should:

Return to the company – Devices will be moved to the Returned Devices space for reassignment or reuse.

Return to a third party – Devices will be archived and removed from asset management since they are no longer in the company’s possession.
Return summary email
- A summary email is sent daily at 09:00 (CEST) with details of all returns initiated the previous day.
- If no returns were initiated, no email will be sent.
- There is no limit to how many recipients you can add for these notifications.
Return flow during offboarding
When a user initiates a return during offboarding:
- The device status updates automatically.
- If the device is not returned by the user’s last day, the status changes to Not returned.
- Admins receive weekly email reminders listing all devices that have not been returned. Sent on Mondays at 6pm (CEST)

Handling devices not returned |
If a device is marked for return but not confirmed as returned, its status automatically changes to Not returned. You can filter for these devices in the Hardware tab and take follow-up actions as needed. |
