Be aware that device lifecycle flows for expiring devices are exclusively accessible within the Lifecycle billing plan. And currently in beta version, only available for selected companies.
At the end of a device’s lifecycle period, meaning when the renewal period of a device is near, in total three different flows and actions can take place for the device, depending on the company’s policy and settings connected to the particular device.
When the renewal date for a device is set to expire, 1 month for one-off purchased devices, an email is sent to the user and an alert with choices is shown on the device detail page. The user for the device will be able to choose what actions that should be taken for this particular device.
More information about the different options
If no action is taken before the renewal date, the "Keep device" option will be automatically selected by default if available. If not, there won't be a default option, and the device will remain unchanged until a choice of action is made.
If not all three options are available for the device it is because the company has not enabled all options for that particular device.
Buyout device
When a device is near its renewal date the buyout device option and price to buy the device will be shown on the device page if your company has chosen to have that possibility available for this specific device.
If the option to buyout the device is chosen you will pay with a card, as soon as you click to buyout the device you will be forwarded to Stripe where the payment is done. A receipt of the payment through Stripe will be sent to your email address if the purchase is successful.
After the device has been bought the status of the device is updated to "Active - bought by employee" and it will still be used for work purposes until a replacement device has been received. Therefore when you have bought the old device, proceed to the store and place a request for a new device.
Once the new device is delivered, you'll receive an email notification indicating that it's ready for pickup. You'll need to follow the necessary steps to switch your devices, i.e transfer data. When the old device is no longer needed for work, a company admin will mark it as released. This means it will be archived and marked as inactive in Velory. Before this can be done, the admin will ensure that the device has been removed from internal systems like MDM services, making it ready for your personal use.
Once a bought-out device is marked as released, its status changes to "Bought out by employee," and it's no longer visible in your active device asset management. Now, the device can be fully used for private use.
Keep device
When a device is near its renewal date the keep device option will be shown on the device page if your company has chosen to have that possibility available for this specific device. If you choose to keep the device after its renewal date you will keep the device and continue to use it for business purposes.
As soon as you click on the Keep button the renewal period will be extended by an additional 6 months. This extension will occur automatically and will be extended on the renewal date independently on when the keep device button is clicked.
If any issues arise with your device during the renewal period, reach out to your company admin, who can manually adjust the renewal period for the kept device.
Return device
When a device is near its renewal date the Return the device option will be shown on the device page if your company has chosen to have that possibility available for this specific device.
If you want to return your device you also need to place a request for a new one, once you choose to click on the Return button you will be advised to visit the store to place a request for a new one. Your old device will be updated with the status "Active - pending return" and you keep using the device for business purposes until you receive information that your new device is delivered.
Once the new device is delivered, you'll receive an email notification indicating that it's ready for pickup. When you have received your new phone an admin in your company will mark your new device as received in Velory and this will update your old device to the status "Active - to return" and you will also receive an email telling you it’s time to return your device.
You'll need to follow the necessary steps to switch your devices, i.e transfer data. When the old device is no longer needed for work, and you have returned the device, an admin will confirm the return of the device and the device status is updated to "Returned". This will update the device status, and it will automatically be removed from your hardware view.
