Managing all the software used within your business can be a bit challenging. Even in smaller companies, it's usual to have many different software services in use every day. This complexity often makes it tough to track how much your company spends on these services, identify unused subscriptions, and figure out which services are exclusive to certain employees.
To simplify tackling these challenges, Velory provides the Software section within Asset Management. Here, you can register software and allocate users to specific software applications.
How to register software
- Go to Asset management in the navigation bar and click on Software, then click on Register software.
- Within the Register software menu, you can browse and search for the desired software name from the dropdown list. If the software you need isn't available, contact Velory support to request its inclusion.
- You need to add one of your admins available as a Software admin, knowing who is the responsible contact person for this software.
- In the Notes section, you can add extra details about the software if needed. Once you've completed the information, click on Register software.
- You will then have the software application registered and you are able to Add users and Add plan for this software in particular.
- It's advisable to begin by adding plans. Click on the Plans tab, then select Add Plan. You'll find fields to enter information about this software. The plan name and type are mandatory, allowing you to choose between Subscription, One-time Payment, or Free. The details to be filled in vary based on the selected plan type.
- Once you've added the plan, you can either add additional plans or proceed to add users to the software. Return to the Users tab and click on Manage users.
- In this section, you'll find a list of all users and spaces within your company. Simply select the users you wish to add to the software, then assign the specific plan for each user.
- Once you've finished selecting the users, click on Update users. The Plan tab will then reflect the accurate information regarding the number of users and the cost associated with the added software plan.
- Within a user's profile, you can view the Software in use, and manage the software plan or remove the user from it by clicking on the three dots associated with the software or selecting Manage software.
